To review an Asset:

  1. Select the Prepare Assets  Upload menu, to open Upload Assets page.

     How does the selection and pagination of search results work?

    Users can optimize the number of search items per page by selecting a value from the Items Per Page drop-down; this number ranges from 10 to 50 per page. The default number is 20.

     

    The selected number of search items is displayed in the grid below the drop-down.

    The search items per page can be changed and viewed at any time for the user's convenience.

    The search results are listed on multiple pages according to the selected number of Items Per Page in the drop-down, if the total number of search items resulting from the search criteria exceeds the selected number of items per page.

    The user can also directly jump to another page of the search results grid by clicking its corresponding link above the search results grid.

     

    The Selection dropdown in the left of the header row has four selection options: AllPage, Some, and None.

     

    This Selection drop-down is present on pages in which users need to select multiple search items for use such as viewing, modifying, etc.

    The Selection drop-down options perform the following functions:

    ColumnDescription
    NoneAll items in the list across all pages of the search results grid are deselected.
    Page

    All items on the currently visible page of the search results grid are selected.

    If you move to another page of the search results grid, you will see that none of the items on that page are selected, but the items selection on the earlier page is still retained.

    Some

    This selection appears when you manually select a few items from the list by selecting their corresponding check boxes. This selection also appears if you select Page from the drop-down and then increase the Items per page, or if you select All from the drop-down and then deselect any item on the search results page.

    It is also possible to select items across multiple pages of the search results grid by simply making the selection on one page and moving on to another - the items selection made on the earlier page is retained even if you move to another page to make additional selections.

    All

    All items in the list across all pages of the search results grid are selected.

    Even when moving to any other page of the search results grid, all the items on that new page are also selected.

    The selection drop-down remains as All if any of the items are not deselected, and it changes to Some if any of the items on any of the pages of the search results grid are deselected. Furthermore, if the deselection is made on the first page of the search results grid, then all the items on other pages are deselected. However, if you move to another page of the search results grid while the selection drop-down is All and deselect any item, the selection drop-down for that page changes to Some, while all items on the remaining pages remain selected with the selection drop-down selection showing as Page on those pages.

    On this page you can ExamineSend for Review or Accept for UseDiscardReview Drafts, or Review Rejected, by clicking the appropriate buttons.

  2. Select the check boxes for the images you want to view and click the Examine button. The Review Asset page opens. From here, you are able to Send for ReviewModifyDiscard, or get the History of an Asset. The current State of the image, Display Mode, Blueprint, Asset Metadata, History, and Comments for the Asset are displayed on the right side of the screen.

    If an Asset Stack is in a Draft state, the following screen is displayed when you click the Examine button. All the controls are the same as for a single Asset, but the preview window has a horizontal scrolling list of all the Assets inside the Asset Stack. You can preview the image using the scrollbar by either pulling/clicking the scrollbar above the image or by using the mouse wheel while the cursor is over the image, or you can use the Previous and Next buttons to move between the images. Changes made are applied to all the Assets within the Asset Stack.



  3. Use the Previous and Next buttons or the Jump to drop-down list to move to other selected assets.
    Each Asset includes the following features:

    FieldDescription
    AssetName of the uploaded Asset.
    IDID for the uploaded Asset (along with the Revision Code).
    StateCurrent state of the Asset.
    Display ModeIdentifies if the Asset is to be displayed as an Exhibit or Inline.
    BlueprintBlueprint of the Asset to which it belongs (used for searching the Asset).
    MetadataMetadata used to Search for Assets.
    EnemyA list of Assets with Enemy association (if any).
    Uploaded ByThe name of the user who uploaded the file.
    Modified ByThe name of the user who modified the file.
    On QuestionsThe IDs of Questions that use the Asset.
    Version HistoryUsed to keep track of the changes being made to the file.
    CommentsLists comments added by users while modifying, uploading, or reviewing an Asset.



  4. Click Send for Review to send the selected Draft Asset through the process of the Asset stages.

    Alternatively, you can return to the Upload Assets page by clicking the Prepare Assets  Upload menu. Select the desired image check box and then click the Send for Review button to send the selected Asset through the process of the Asset stages.

    When you select Send for Review, the Draft Asset is sent out for reviewing. The state of the Asset changes to Completed (by default), or to Compliance, Processing, or Quality if the administrator changes the Asset Review configuration. See Configuring Review of Assets.

    The Asset configuration is set by the Manager/Administrator from the Manage → Project → Configuration → Assets page.

    Here they can set the configuration for uploading Assets and save them in ID names. The Manager/Administrator can set the values for the Compliance, Processing, Quality Reviews with values (0 to 15) for acceptance or Rejection. Permission to allow all the uploaders to review their own Assets can also be set.

    Try to implement all the processes through which an Asset should move to reach the Completed state for the validity of the Assets.

    When Draft Assets cannot be viewed by non-Managers

    When an Asset is initially uploaded with the Accept for Use check box unselected, it is assigned in the Draft state. Only Managers and the individual who originally uploaded it can view the Draft Asset. All other users who attempt to view the Asset sees a message that says Asset Not Approved for HIPAA Compliance.
    In order to change the state of the Asset, you can do one of two things:

    a.) Have a Manager Review Draft Assets or press Send for Review for each one of them. If your Project is configured to skip review stages, it is automatically set to Completed state.
    b.) Search for Assets using the criteria of "State" + Equals + "Draft" and then Batch Edit the Assets to change the state to Completed.



  5. Click the Previous button to after sending the Asset for review. A message in red notifies you the state of the item has changed and it is not longer available for review.



    • The state of the Asset is changed and the sequence id in Jump to drop-down list is marked with a star.
    • The name of the user accepting the Draft is introduced in the User Tracking section and a message that the Asset has changed its state is displayed.
