You can associate as many Metadata fields as you need with items, assets, and exam forms in ExamDeveloper.

You can create items under each metadata list for the project’s users. If you select the Users can add Contents check box, users can create metadata items as they edit items or assets.

Create metadata

  1. Select the Manage → Settings menu.
  2. Click the Metadata tab.

  3. Enter a Name for the metadata. By default ExamDeveloper automatically enters the Plural Form for the metadata. You can modify the plural form.

    The name for the metadata must be unique within the entire Item bank. You cannot have two metadata with the same name in the item bank, even though they are on different projects.



  4. Enter the Category for the metadata. Category is used to group metadata types together. You can create your own category by typing a name in the field, or you can type in an existing category name. If you enter no category, the Default Category is assigned.
  5. Enter a Description for the metadata.
  6. Select a metadata Type from the drop-down list.

    Description

    Multiple Entry Text

    This allows for one or more single-line text entries to be added for a given item or asset. When two or more characters are typed in the text box, a suggest as you type list is shown for all metadata values entered previously, which helps reduce duplication of entries. This is the default type of metadata if no other type is selected.

    Single-line Text

    This allows for only one text entry to be added for a given item or asset.

    Block Text

    This allows for an entire block of text or HTML to be entered. This type also allows you to attach assets within the metadata field.

    Multi-select List

    This creates a fixed list of items, and the user can choose one or more values to assign to the item or asset.

    Drop-down List

    This creates a drop-down list of items, and the user can choose only one value to assign to the item or asset.

    Check Box

    This creates one or more values with check boxes next to them so the user can select (or de-select) each value.



  7. Enter a Size Limit for the metadata. This is the number of characters users are allowed to enter for the metadata type. The size limit only applies to multiple entry textsingle-line text, multi-select list, and drop-down list.
  8. Select the Display On options. You must determine if the metadata will be available for items, assets, and/or exams.

    On Questions, Assets and Exams: Displayed on all three editor pages. Also is available in items and asset search control pages.
    Only on Questions: Displays only on Question editor pages. Available only on item’s search control pages.
    Only on Assets: Displays only on Assets pages. Available only on asset’s search control pages.
    Only on Exams: Displays only on Exam Forms pages.



  9. Select who has access to the metadata, if it is mandatory, and if users can add content to the metadata.

    Users can add contents

    Users are allowed to add contents from editor pages when selected. If this is not selected, users may only select from pre-defined metadata content for drop-down lists, multiple entry text, multi-select lists, and single-line text metadata.

    Mandatory

    Items/assets cannot be submitted without entering contents for the mandatory metadata.

    Available only to Manager

    Metadata is only available on Project Manager’s Question/Assets editor pages.



    Using 'Mandatory' along with 'Manager Only' setting

    When selecting Mandatory setting, users are not able to approve or complete items unless that metadata field has been assigned values. However, if it is specified as a Manager-Only metadata field, users do not see the field. Therefore, the Project Manager is the only one able to specify values for all items. Using both Mandatory and Manager-only settings together are not advisable.



  10. Enter Content for the metadata. Each entry must be entered on a separate line. Content is only available for multiple entry text, single-line text, multi-select list, and drop-down list metadata types.
  11. Click Save. The metadata you created is added to the table at the bottom of the Manage metadata page. The metadata are listed in alphabetical order.

    If you did not select a Category for the metadata entry, a message opens and asks if you want to assign the default category to the metadata. Click OK to assign the default category, or click Cancel to go back and enter a Category.

    If you entered content for the metadata, you will not see the content when you select the metadata. You must edit the content in order to view the content. See Modify metadata.

    Users cannot enable the mandatory metadata setting for assets if the Automatically Approve Assets setting in the Configuration page of the Project is set to Yes. An error message in red text is displayed if the user tries to save the metadata.

Modify metadata

  1. To modify a metadata list, click the  Edit icon for the desired metadata. It is loaded into the edit area above.

  2. Edit the Name, Plural Form (even though the application develops the plural form of the Name of the metadata, the Project Manager can edit it), Description, Size Limit, details about Display On, and Contents. The contents are shown one per line and you can add many at once. 

    Changing from one metadata type to another is not supported

    Type and Category of the metadata cannot be modified on this page, so it appears grayed out. 
    If the category is not specified for metadata when it was created, then it is set as Default Category.

    The category for metadata is listed in alphabetical order.

  3. Click Save when done.

    The default metadata character count limit for Multiple Entry Text, Single-line Text, Multi-select List, and Drop-down List types of metadata is 250. This value can be modified in the Size Limit box of the Manage Metadata page under the project's configuration Settings tab.

    If you set the default metadata size to a value smaller than the previous default value, and if some item has metadata of that type with the size exceeding the new limits, then an error message in red text appears when you try to save the new Size Limit.

Modify metadata contents

  1. To modify metadata Contents, click the Edit Content icon for the desired metadata. The Edit Contents pop-up window opens. All entries are listed in alphabetical order.

  2. click the  Edit Content icon for the content entry you wish to modify.
  3. Modify the content.

    If you Upload Assets to Block Text metadata, a message notifies you that the uploaded files have been attached.

    If you Upload Assets that require mandatory metadata, a message notifies you the uploaded files have been attached but the files do not have all the required metadata. You must Modify the Asset to add the mandatory metadata. See Modify an Asset for details.



  4. Click the Save Content icon. A message confirms the content was updated successfully.
  5. Close the Edit Contents window.

 

Edit Block Text Contents

 If block text metadata has not been applied to an item, asset or exam, the Edit Contents window is empty.

Users can enter text, assets and tables in block text metadata.

Once the block text metadata has been applied to the item, asset, or exam, the Edit Contents window lists all the block text contents.

 

Delete metadata content

  1. To delete metadata Content, click the corresponding Edit Content icon.
  2. This opens a pop-up window with the metadata contents. Click the appropriate  Delete Content icon for the desired metadata.
  3. If the metadata content being deleted is associated with any items, assets, and/or exam forms, then the following confirmation pop-up window with the IDs of those items and/or assets, and/or the names of the exam forms is displayed. Deleting the metadata content may affect those items, assets, and/or exam forms.

    1. Yes button: Delete the metadata content and return to Edit Contents page.
    2. No button: Don't delete the metadata content and return to Edit Contents page.

  4. To replace the metadata content instead of deleting it, select the content in the You can choose to replace the deleted item with another existing item in its place drop-down list, and click Yes. The content is replaced with the selected content. Click No to cancel the deletion.

    A similar pop-up, with different text and buttons, opens when the metadata content being deleted is on an item with statistics.

    When the Show 'Retain Statistics' pop-up warning for modified items check box on the Project tab  of the project's configuration page is selected, Yes, No, and Cancel buttons appear.

    • Yes button: Delete the metadata content, but retain the statistics, then return to Edit Metadata Contents page.
    • No button: Delete the metadata content and statistics, then return to Edit Metadata Contents page.
    • Cancel button: Don't delete the metadata content and return to Edit Metadata Contents page.

     

    When the Show 'Retain Statistics' pop-up warning for modified items check box on the Project tab of the project's configuration page is not selected, only the Yes and Cancel buttons are visible, the No button doesn’t appear.

    • Yes button: Delete the metadata content, but retain the statistics, then return to Edit Metadata Contents page.

    • Cancel button: Don't delete the metadata content and return to Edit Metadata Contents page.

    If there are no other values in the metadata field, then the You can choose to replace the deleted item with another existing item in its place drop-down field will not be displayed.

    • Yes button: Delete the metadata content, but retain the statistics, then return to Edit Metadata Contents page.

    • Cancel button: Don't delete the metadata content and return to Edit Metadata Contents page.



  5. To view the metadata content for viewable metadata, click the hyperlink on any metadata name on Manage Metadata page.

    The content details are displayed in a pop-up window.

Delete metadata

 

  1. To delete metadata, click the  Delete icon.
  2. Click OK to confirm the deletion or click Cancel to abort the deletion.

    The metadata is removed from the list of metadata on the Manage Metadata page.

 

Icon
  • Metadata used in writing assignments cannot be deleted and a message in red text notifies you that it cannot be deleted when you try to delete these metadata.
  • Metadata on items in Published Cases/Sections/Exam Forms also cannot be deleted.
  • Once metadata is used in items/assets/exam forms, it cannot be deleted. The Delete Content icon for those metadata types are automatically removed.
