Users can add content objects to an Item Bank from the Add Content page.

Access the Add Content page

  1. Select the Manage Item Bank → Projects menu.


  2. Click the  Add Content icon next to a project to add contents to the selected projects.
  3. The Project Add page is displayed where users can pull contents from other projects to the current project from the selected Item Bank.


Content objects that can be added are as follows:

All content objects live inside the scope of one or more projects.

Make sure you are inside the correct project before adding

When adding content to a project, make sure you are already in the correct project you wish to add. You will know this by looking at the top of the page where it says: "Project: XXX." Otherwise, you will be adding content to the wrong project.

 Content objects can be made editable in a single project only, but they can be included as viewable in multiple projects.

 

Should I remove questions/exam forms out of projects when they are completed?

No! It is not necessary to remove questions/exam forms/assets out of projects at their conclusion. Instead, you can just assign the Editable permission to another project (e.g., A General Editorial Project) and then archive the completed project. It is perfectly acceptable to have questions assigned as Editable on one project and Viewable on several other projects. Therefore, you don't have to worry about removing the content out of the completed project before closing it.

However, if you do remove content (questions, exam forms, collections, etc.), it is automatically assigned to the Default Project as a safety precaution, as all content must be associated with at least one project. You can assign anything from the default project to another project at any time.

Summary of Content

The table on the right displays the count summary of content objects included in the project.

Click the Content Object link in the summary table or select the object from the content drop-down list to see a list of selected items for that content type.

Only "available" content appears in the search results of "Add Content" page

When trying to add content to a project, the system "hides" certain items that are not available to be added to that project from the search results content.

Items automatically hidden from the search results contain:

  • Any content already assigned to the project. Items already assigned to a project cannot be re-added.
  • Individual questions that are part of a case. The entire case must be added using the Add Cases function.
  • Statistics that have been uploaded within the scope of the project. Statistics remain with the scope of that project.


Content Object - Questions:

  1. Click the Questions link or select items from the Content drop-down list to search for and retrieve items. A search criteria section is displayed above the complete list of items within the item bank.

    You can search for items using any of the following search criteria:

    • Contains Graphic

  2. Use the search criteria to locate the desired questions.
  3. By default, all content objects are added to the project as viewable content.
  4. Select the desired items in the list.
  5. You may select to assign these items as editable by selecting the Assign As Editable option.
  6. You can click Add Questions to add items that are editable and viewable on other projects.

    How many items can I add at once?

    If you are sharing items (or any data) 2000 items or less can be shared at once. If more that 2000 are selected to be shared at once, the system times out and an error is given.

 

   Content object - Cases:

  1. Click the Cases link in the content table or select Cases from the Content drop-down to view the list of cases within the current project.
  2. You can click the hyperlink on any case name to view a list of items assigned to the case.
  3. Click Add Cases to search, retrieve, and select cases from other projects to add to the current project. 
  4. You can select Cases from the list and click Assign to project to make them viewable on the current project. A Project Sharing Confirmation message appears notifying you the case and its contents will be shared with the project.

    The Case is added to the project and listed as Viewable on the project. The case and all its contents are still editable on the original project. A case may only be editable on one project at a time.
  5. Select the Assign as Editable check box before clicking the button if you want to make the selected cases editable on the current project. A Project Sharing Confirmation message appears notifying you the case and its contents is shared with the new project.

    The case is added to the project and listed as Editable on the project. The case and all its contents are only viewable on the original project. A case may only be editable on one project at a time.
  6. If you want to switch from Editable to Viewable, select the case check box and click the Viewable button. The same Project Sharing Confirmation message is displayed.
  7. If you want to remove a case from a project, select the case check box and click the Remove From Project link. The same Project Sharing Confirmation message is displayed. Click OK and the case is removed from the project list.

Content object - Collections:

  1. Click Add Collections to search, retrieve, and select collections to add to the current project. 
  2. You can use the filter criteria to search for specific collections.
    1. Collection Name - search for text within the collection name
    2. Created By - search for a user that created the collection
    3. Editable On - search for collections within projects in the item bank
  3. You can click the hyperlink on any collection name to see a list of questions assigned to the collection.

Only the Item Bank Manager can delete collection.

Assigning collections to projects

When assigning collections to projects, the items are also automatically assigned to those projects.

Content object - Blueprint Document:

  1. To assign an existing Blueprint to a project, click the radio button to assign a single blueprint to the current project.
    • To rename the existing blueprint, click the  Rename button and enter a new name for the blueprint.
    • To make a copy of an existing blueprint, click the  Copy button next to the existing blueprint. When you copy a blueprint, all content associated with the old blueprint is carried forward to the new blueprint as well.
    • To delete an existing blueprint, click the  Delete button. All content associated with that blueprint is deleted.

      Blueprint document can be deleted:

      • Even if a project contains only unclassified items. (The items are eventually moved to the default project.)
      • If the unclassified items are associated with Draft state exams.
    • If the project has a published exam associated to the blueprint document, it cannot be made Viewable again.

Blueprint documents are viewable by default. In this state, they are not editable and must be made editable when needed.

Making changes to blueprints which are associated with "Published" exams

Icon

When a manager Publishes an exam, its contents and blueprint are locked and are not editable. This ensures that the blueprint used to make the locked exam is the same as when the exam was built.

If changes must be made to a locked blueprint, it is advisable to Copy the existing blueprint, add a version to the name (e.g., v.2), and then assign the v.2 blueprint for future projects. This ensures that the original blueprint is available in the project that was used to make the published exam.

Blueprint changes that will lose content associations

Be careful when editing a blueprint which has content (items, assets, exams, etc.) associated with it. If you delete a section of the blueprint, all items assigned to that area of the blueprint appear as Unclassified. To reclassify items to another area of the blueprint, use the Batch Edit option in the Project Manager's Project Bank.

 
Also, do not re-upload a copy of the blueprint into a new project if you want to preserve the blueprint ID associations. Any blueprints uploaded into the system using the import template is a brand new blueprint and is not linked, in any way, to any other blueprint, including any blueprint IDs of associated content.

Content object - Assets:

  1. Click Add Assets to search, retrieve, and select assets to add to the current project.
  2. Select the desired Asset and click Assign to project.

    The asset is assigned to the project. If the asset was assigned to other projects, a message in red notifies you of that fact.

Content object - Sections:

  1. Click Add Sections to search, retrieve, and select sections to add to the current project.
  2. There are two methods of selecting a section to a project.
    1. Scroll through the list. Select the desired section and click Assign to project.
    2. You can type part of the Section Name into the text field and click Search. Then select the desired section from the list and click Assign to Project.
  3. You can click the hyperlink on any section name to see a list of questions assigned to the section.

Content object - Exams:

Exams can be shared between (added to) multiple projects, but exam forms (contained in those exams) cannot be individually shared in a similar way.

  1. Click the Exams hyperlink on the right or select Exams from the Content drop-down on the left. This displays the exams contained in that project. It also displays the exam forms grouped according to their container exam.

  2. Click Add Exams.
  3. Select the exam you want to add to the project and click Assign to project.
  4. If you select an exam that includes a case, the Project Sharing Confirmation message appears. Click OK. This message notifies you that items you are adding your project belong to a case. These cases and their contents are made viewable on your project.

    The exam is added to your project. The system identifies if where the exam is editable and where it is viewable.

Assign as Viewable/ Editable/Remove From project

You can change if the exam (and all its contents) is editable or viewable on the project. Exams can only be editable on one project. Select the check box corresponding to the exam to be shared and click one of the three options to change the way the selected exam (and contained exam forms) appear to the project with which they are to be shared:

  • Editable button: The selected exams (and contained exam forms) are viewable and editable from the project to which they are shared.
  • Viewable button: The selected exams (and contained exam forms) are viewable, but not editable from the project to which they are shared.
  • Remove From Project hyperlink: The selected exams (and contained exam forms) are unshared from the project.

Content object - Metadata:

  1. Click the Metadata link in the table.

  2. Click Add Metadata to search, retrieve, and select metadata to add to the current project. 

  3. All the metadata in your Item Bank is listed. You can use the Category drop-down list to narrow the search. Select the desired metadata in the list and click Assign to project.

    The metadata is assigned to the project. The system identifies if where the metadata is editable and where it is viewable.

    There is a category for each metadata that can be selected from the Category drop-down.

    Metadata not having content displays the following error message: Following metadata do not have content, so you cannot make them viewable in the project.

    You cannot delete all content for selected metadata; selected metadata is viewable on other projects.

Assign as Viewable or Editable

  1. For each content object (excluding blueprint), you can select content from the display list to do one of the following:
    • Make the content editable in the current project by clicking the Editable button.
    • Set the content's state as viewable only in the current project by clicking the Viewable button.

    Exam forms that were assigned to other project(s) can be re-assigned to the working project. Remove contents from the project (if previously added) by clicking the Remove From Project button.
    After assigning an exam form, all contents such as items, assets, cases, sections, collections are added to the project.
    All the contents will be Viewable for that project.

    Creating an "Item Bank" project

    If an Item Bank Manager wishes to have a single project where all content in the Item Bank is viewed, they can do so either in the the default repository or any other project. Periodically, they must check the Add Content page to see if there is content not associated with the project that must be added.

    If the default repository is used for this purpose, content is automatically assigned to the default project for you whenever content is removed from any other project.

Content Object - R-Type Options:

R-Type options can be shared between (added to) multiple projects.

1. Select the Manage Item Bank → Projects menu or simply click the hyperlink for the project name on the Home screen.

2. Click the Add Content  button corresponding to the project name from which you wish to add the RType Option.

3. Click the RTypeOptions link. A list of available R-Type Option Groups across all the projects under the Item Bank is displayed near the bottom of the screen.

4. Select the R-Type Option Group you wish to share via the check box on the left and click the Add RTypeOptions button.

By default, these R-Type Option Groups are viewable on the Item Bank.

Select the check box corresponding to the R-Type Option Group in the list to change the way the selected R-Type Option Group appear to the project with which they are to be shared:

    • Editable button: The selected R-Type Option Group is viewable and editable from the project to which they are shared.
    • Viewable button: The selected R-Type Option Group is viewable, but not editable from the project to which they are shared.
    • Remove From Project hyperlink: The selected R-Type Option Group is unshared from the project.

Content Object - Project References:

References can be shared between (added to) multiple projects.

  1. Click Manage Item Bank → Projects or simply click the hyperlink for the project name on the Home screen.

  2. Click the Add Content  button corresponding to the project name from which you wish to add the reference.

  3. Click the Project References hyperlink on the right. This displays the references contained in that project.


Assign as References Viewable/ Editable/Remove From Project

 

Select the check box corresponding to the references to be shared and click one of the three options to change the way the selected references appear to the project with which they are to be shared:

    • Editable button: The selected references are viewable and editable from the project to which they are shared.
    • Viewable button: The selected references are viewable, but not editable from the project to which they are shared.
    • Remove From Project hyperlink: The selected references are unshared from the project.
